What we collect and why
We collect your first name, surname, email address, request date and the page you requested the guide from. We use these details to process and record your request. Our lawful basis for this administration is our legitimate interest in providing requested resources and operating the download service. You can object to this use.
If you choose the separate email opt-in, we also record your choice, the wording you agreed to and the time you agreed. We rely on your consent to email you event insights, practical advice, information about our services and follow-up about your event plans. This offer is an email subscription with a welcome guide. You must actively opt in to request it, and can unsubscribe at any time while keeping the guide.
We use a temporary, hashed network identifier to limit automated or excessive requests. This is used for service protection, not marketing profiling.
Your choice about contact
Submitting this sign-up form subscribes you to the email communications described on the form. We record your express opt-in and provide the guide as a welcome resource. You can withdraw consent at any time using the unsubscribe link in a marketing email or by emailing hello@thebookingoffice.co.uk. Withdrawal does not affect processing already carried out lawfully.
Where information is stored and who can access it
Information is stored in the website’s Cloudflare-hosted database through ChatGPT Sites. Authorised people at The Booking Office and service providers supporting the website may process it for these purposes. We do not sell your personal information. If opted-in contacts are subsequently managed in our CRM or email service, those providers will process the details on our behalf.
Our website infrastructure providers may process information outside the UK. Where an international transfer takes place, applicable UK data protection safeguards are required. Contact us for details of the arrangements applying to your information.
How long we keep it
We review download records that have no marketing opt-in within 90 days and delete details no longer needed for administration. We review opted-in contacts at least every 24 months and remove details where there is no continuing reason to retain them. If you opt out, we may keep a limited suppression record to prevent further marketing and retain relevant consent evidence where needed to demonstrate how your request was handled.
Your rights
Depending on the circumstances, you can ask to access, correct, delete or restrict the use of your personal information; object to processing; withdraw consent; or request portability where applicable.
